Senior Digital Administrator

 

Responsibilities:

 

1. Responsible for the operation of the virtual classroom technical platform according to various delivery methods.

  • Provide technical coordination and support before and during the virtual classroom session.
  • Work as a “Producer”; partnering with Senior Consultant and Business Partners to support online or hybrid online / face to face training programmes.
  • Specifically manage the platform, ie MS Teams, Zoom, Webex, audio, and any apps to optimize the experience for participants.


2. Manage admin for the Swire Leadership Programme and Ethos Open Programmes, designed for global participants within the Swire group, this includes:

  • Set up, monitor, communicate and review of the programme registration process (over 70 programmes of 20 participants per year).
  • Communicate effectively with participants and HR contacts of Swire group companies on details of the programmes and handle their enquiries.  
  • Manage annual 360˚ feedback reports with participants, managers and vendor.
  • Administer and maintain database and training records of participants and run regular reports.
  • Administer and maintain programme related statistics and provide regular updates, prepare analysis reports and ad hoc reports as required.


3. Assist in programme planning and monitoring, programme calendar set up and tracking, this includes:

  • Manage Learning Management System, i.e. SAP Success Factor.
  • Engage with key clients for regular updates.
  • Assist in budgeting, reporting and planning work for all programmes.
  • Administer and maintain the Company’s product library.
  • Manage the documentation of process set up.


4. Provide on-site programme and ad hoc support when necessary in HK & China. Overseas travel to China will be required.

 

Requirements:

 

  • At least 7 years’ experience in an administrative role, with proven record in supporting online training programmes and digital initiatives
  • Extensive experience using virtual meeting tools, such as Microsoft Teams, Zoom and Google Meet
  • Experience of working with databases and ideally learning management systems
  • Possess excellent interpersonal and communication skills in both spoken and written English, Cantonese and Putonghua, to enable work with all levels of the organisation
  • A mature, organised and detail-minded person with strong analytical, numerical and process management skills
  • Digital mindset with comfort in use of learning technology to maximise the experience for participants
