John Swire & Sons (H.K.) Limited is the holding company of the publicly-listed conglomerate, Swire Pacific Ltd. Our Company Secretary's Department is now inviting candidates to apply for the following position:

 

Senior Administrative Officer

 

Responsibilities:

  • Lead a small team in providing a full spectrum of office administrative support, including onboarding, offboarding, and coordination with other departments for routine matters and events
  • Manage and maintain records for companies such as statutory records, group organisation charts, training records, and meeting materials, etc
  • Oversee office logistics to ensure efficient operations, including expense reimbursements, supplies and equipment maintenance, contract management, and vendor negotiations
  • Prepare and manage the annual department budget, and compile reports for internal and compliance purposes
  • Support ad-hoc projects as assigned

 

To be successful in this role, you must have:

  • A Diploma or above in Business Administration or related disciplines, with formal secretarial training
  • At least 10 years of solid experience in office management or similar administrative positions in sizable departments or organisations
  • Experience in database management and knowledge using Viewpoint and Boardvantage would be an advantage
  • Proficiency in use of Microsoft Office including Word, Excel, PowerPoint and Outlook
  • Strong interpersonal, communication and problem-solving skills
  • Good organisation skills, with attention to detail and a high level of accuracy
  • Good command of spoken and written English and Chinese
